JOB SUMMARY:
The HR Coordinator is responsible for providing support and coordination in various HR functions, including employer brand and communications, onboarding, and internship management. This role acts as a vital link between HR and employees ensuring a seamless and positive employee experience.
JOB RESPONSIBILITIES:
- Onboarding: Lead the onboarding process for new hires including full-time, interns and temporary employees, ensuring a seamless transition into the company
- Send new hire onboarding e-mail to IT
- Coordinate new hire first day meetings on calendars: HR Meeting, IT meeting, New hire buddy Meeting, and Direct Manager Meetings, Partner with Hiring manager to prepare Integration Plan, coordinate Benefits Orientation
- Coordinate onboarding meetings for Director/VP level hires, as needed
- Provide new hire Office Tour and Facilitate Orientation
- Assist with scheduling 30/60/90-day check in meetings for HRBP
- Track and maintain office seating chart
- Ensure new hire paperwork required forms are completed and in employee file for all special states (for new and existing Retail Field new hires)
- Prepare new hire welcome gifts
- Manage I-9 Verification to ensure compliance with federal regulations
- Offboarding: Coordinate off-boarding procedures for employees in New York
- Exit Interviews
- Managing Exit Survey via survey providing actionable insight on feedback and recurring common themes
- Coordinate disabling access
- Exit forms
- Support HR Administration
- Update Monthly Organizational Charts
- Oversee background checks
- Assist with policy tracking
- Prepare forms and letters (RVFs, SCFs, TNFs, verification of employment, furlough, employment change, severance), as needed
- Manage trackers (bonus, severance, offboarding)
- Prepare State specific Wage Notices
- Send monthly employee discount report to Marketing and Elemis
- Preparing HR Monthly celebration slides
- Support the CHRO in organizing team events and assisting with the production of Rendezvous.
- Manage L’Occitane Internship Program
- Partner with relevant departments to actively source, recruit, and select a diverse pool of high-potential interns, ensuring an efficient and inclusive hiring process.
- Facilitate networking events, intern activities, cross-departmental and collaboration with sister brands for exposure.
- Identify high-performing interns and work with HR to create potential pathways to full-time roles, building a talent pipeline that supports the organization’s long-term hiring goals.
- Oversee the budget for the internship program to ensure effective use of resources.
- Identify opportunities to enhance and improve the program that aligns with the organization’s needs and objectives.
- Support Employer Brand & Internal Communication
- Co-Lead seasonal multi-brand internship event from design to presentation
- Create in-house design & digital creation projects with consistent branding
- Support on deployment of employee engagement projects throughout the year
- Contribute to the development and creation of internal communications, covering announcements such as new hires, promotions, and organizational updates.

EDUCATION:
- BA in Human Resources, Business Administration or related field
- 1-2 years of experience in HR or administrative support, preferably within a corporate HR department.
- Excellent communication and presentation skills
- Effective team player and partner who is energetic and passionate about our brand and company
- Demonstrates an immediate sense of urgency as well as flexibility
- Excellent communication and interpersonal skills
- Ability to work collaboratively in a fast-paced, high-growth environment and able to manage multiple responsibilities and projects in a timely manner
- A proactive and positive attitude with a willingness to learn and grow
- Strong planning and organization skills with the ability to manage multiple duties simultaneously
- Proficient with Microsoft Office Suite (Excel & PowerPoint)
- Proficient with using an Applicant Tracking System preferred
- Skillful with common design, presentation, and video tools
- Must be able to work in normal office conditions
- Hybrid office schedule
The compensation for this role ranges from $55,000 - $58,000 for the NYC region. Exact compensation will vary based on factors including but not limited to, experience, skills, and geographic location. In addition to annual salary, this position is eligible for participation in a highly competitive bonus program.
