Job Summary

The Part-Time Wholesale Coordinator (General Wholesale & Tuesday–Friday Reporting) oversees wholesale activities for non-TV channel retailers (e.g., Sephora, Nordstrom, Ulta, Anthropology Amazon, Indies, Macy’s) and manages reporting and coordination tasks from Tuesday to Friday. This role focuses on purchase order actualization, financial reporting, marketing coordination, and promotional planning. The coordinator ensures smooth operations across wholesale accounts, tracks active projects, and prepares promotional calendars. This position requires approximately 20 hours per week, with a focus on Tuesday–Friday tasks.

Job Responsibilities
  • General Wholesale Coordination:
    • Finalize promotional files and ensure allocation for Indies accounts (e.g., Cardea Active Accounts, Sales Reporting Check).
  • Tuesday–Friday Reporting and Coordination:
    • Tuesdays: Actualize POs, report sell-in data, and send order recaps for all non-TV channel retailers.
    • Wednesdays: Participate in Finance Sell-In calls with Daniel and Emilie, preparing month-to-date (MTD) sell-in reports.
    • Thursdays: Track active marketing projects and follow up on marketing briefs (e.g., separate briefs or use Danielle’s system).Manage Promo Grids, check status with Clara, and determine if PMF (Promotional Material Form) generation is needed.
    • Friday: Review promotional calendars and prepare summary slides for wholesale marketing recaps. Update invoices and PO trackers for non-TV channel accounts.
  • Cross-Functional Collaboration:
    • Coordinate with marketing to ensure promotional grids and briefs align with retailer needs.
    • Work with finance to ensure accurate sell-in reporting and invoice tracking.
    • Collaborate with production to align on non-TV channel order fulfillment schedules.
  • Ad-Hoc Tasks
    • Update strategic launch gates for non-TV channel accounts based on monthly reviews.
    • Assist with marketing briefings and ensure clear communication across teams.

Key Performance Indicators (KPIs)
•    Timely actualization of POs for non-TV channel retailers (100% on-time delivery).
•    Accuracy of sell-in reports and invoice trackers (error rate < 2%).
•    Completion of promotional calendar summaries by Friday each week (100% on-time).
•    Successful resolution of delivery issues for non-TV channel orders within 48 hours.
•    Positive feedback from marketing and finance teams on coordination and reporting (score ≥ 4/5 in quarterly reviews).

Requirements
Education
•    Bachelor’s degree in Business, Marketing, Supply Chain, or a related field (or equivalent experience).
Experience
•    1–2 years of experience in wholesale coordination, retail account management, or marketing coordination.
•    Experience with purchase order management and financial reporting preferred.
•    Familiarity with retailers like Sephora, Amazon, or independent accounts is a plus.

The compensation for this role ranges from $22-$24/hour for the NYC region. Exact compensation will vary based on factors including but not limited to, experience, skills, and geographic location.
